How to make a printable staff schedule for a small team

In a small team the schedule often lives in one person’s head – until that person is ill. One printed page on the wall tells everyone who works when, and it takes ten minutes a week.

Actual Planner Studio workspace: staff names and shift codes written into a weekly work schedule, then the PDF downloaded.

The short answer

Open Planner Studio’s work schedule, write your team’s names into the rows, tap the boxes to enter shift codes such as E, L or N, and adjust the legend. Download the PDF, pin it up and duplicate the page for next week.

Each step is also explained in writing.
  1. Write your team’s names into the rows.
  2. Tap a box and enter a shift code: E, L or N.
  3. The legend under the table explains the codes.
  4. Pick the design for the noticeboard.
  5. Download the PDF and duplicate the page for next week.

What a good staff schedule shows

A schedule should answer three questions at a glance: who works today, when, and who is off. Short codes keep the boxes readable; the legend under the table explains them once.

  • One row per person, one column per day.
  • Short shift codes (E = early, L = late, N = night, – = day off) or times such as 7–15.
  • A legend, the week it applies to and room for notes such as holidays or a training day.

Make the schedule in five steps

  1. Open the template

Open the work schedule page: the days are columns, eight empty rows wait for names, and the notes box holds a legend.

  2. Add the team

Tap the boxes on the left and write the names, or edit them under “Rows”. Add rows for more staff; make the label column wider if names are long.

  3. Plan the shifts

Tap a box and write the code or the hours. Start with the shifts that must be covered every day, then fill in the rest and the days off.

  4. Check the legend and the week

Adjust the legend to your codes and write the dates of the week on the date line – after printing, or before by typing them into the subtitle.

  5. Print and share

Download the PDF, print it in landscape and pin it where the team sees it. For the next week, duplicate the page and change only what is different.

Rest times and fair rotas

Plan enough rest between two shifts: in the European Union, workers are entitled to at least 11 consecutive hours of daily rest, so a late shift should not be followed by an early one the next morning. Rules differ by country and sector – check what applies to you.

Rotate unpopular shifts – weekends, late evenings – so they do not always land on the same people, and publish the schedule early enough for everyone to plan their private life.

Staff names stay on your computer

Employee names are personal data. Planner Studio keeps them in your browser and makes the PDF on your device; nothing is uploaded to a server. It is free for businesses, with no account and no watermark.

More plans for the workplace

The same studio makes cleaning checklists for the office or kitchen, weekly team plans and to-do lists – all pages of one planner print together in one PDF.

Start a café example with coverage requirements

Consider an illustrative café with six team members, including two part-time workers. Before allocating names, list which functions must be covered during opening, the lunch period and closing. A full row of names does not reveal that nobody has been assigned a particular function. Note the requirements on a separate draft, then transfer the agreed shifts into the table. These example staffing numbers are not a staffing recommendation. The right coverage depends on the business, and the planner does not evaluate qualifications or demand. Its role is to make the selected assignments readable on a page the team can consult.

Collect exceptions before the first draft

Ask for known absences and availability through your usual process before filling the weekly sheet. Keep a confirmed absence distinct from a preference and an unanswered request. In our example, one part-time worker may be available on fewer days; that does not automatically explain which services they should cover. Do not put the private reason for an absence into a widely displayed rota. The grid can carry a name and shift while the supporting details remain in the appropriate separate record. Planner Studio does not collect availability, approve requests or replace that internal decision-making process.

Check the grid in two directions

Read each day down the page to check the intended coverage. Then read each person across the week to review their pattern. Those two passes can catch different omissions. Write the actual times behind short codes in the legend, including any distinction needed between a finished allocation and a blank still awaiting a decision. Do not rely only on colour if a monochrome printer may be used. Calculate hours elsewhere when you need totals: this template does not sum them or test compliance. Check applicable official working-time sources and seek a case-specific explanation when exceptions or agreements matter.

Keep amendments separate from attendance records

Add the period and a version date before distributing the PDF. Agree who can approve a swap and how the revised copy reaches the people affected. A corrected draft in your browser does not remove an old file from a colleague’s phone. Replace the noticeboard copy as part of the change. Keep actual hours and approved records through the appropriate business process; the original rota records a plan, not proof that every shift was worked. Local browser storage is convenient for the editable template, but it is not a managed personnel system with access permissions or payroll processing.

Questions you might still have

Is the work schedule template free for businesses?

Yes. You can use it in your company, shop or practice and print as many copies as you need, without account or watermark.

Can I plan two weeks on one page?

Use a custom grid with up to 14 columns for two weeks, or duplicate the weekly page – each week then gets its own page in the same PDF.

How much rest is needed between two shifts?

In the EU at least 11 consecutive hours per day under the Working Time Directive; national laws and collective agreements can require more. Check the rules for your country and sector.

Does the template calculate contracted hours?

No. Calculate totals separately and compare them with the planned grid. The page arranges text without a payroll or time-tracking calculation.

Can staff approve a swap inside the tool?

There is no approval workflow. Agree a process outside the planner, then distribute a clearly dated corrected version to everyone affected.

Is the rota proof of actual hours worked?

It shows a plan. Keep attendance and required records in the business process intended for them, separately from the template.
